I empathize with this problem. We, too, have been surprised by the amount of time neccessary to orient a "guest" to the project. Otherwise, they lack a sense of audience and their 'prepared' presentation my not match participants' needs. We've taken the approach that we have to make time to prep the speaker and if they don't have time or aren't inclined to invest that much, then they're probably the wrong expert for us. Thanks for raising this; it's important.
